Press Release Format for Your Company

When preparing a press release for your company, always use the accepted format which is recognized by all journalists. It is exceptionally important to remember to never email your release as an attachment. It will be deleted. Rather use the template below as the main body of your email so it is immediately displayed in the recipients in box.

 

FOR IMMEDIATE RELEASE: (this must appear at the top of all releases to let the editors know that the information contained is relevant right now.)

  • Your Email Address
  • Your Website URL

Your Headline (example: Spread the News Announces New Affordable Daily Newspaper Email Lists)                         The headline for your press release is of vital importance and should grab the attention of the editor. It should be in bold type, larger than the body copy, and in a common typeface. Keep the headline short but not too short that you can't provide the subject of your release.

<City>, <State>, <Date> - Your first paragraph must begin with these three elements. Then make sure that you get right to the point in a concise and factual manner. The first sentence must contain information to entice the reader to continue in a newsworthy manner. You're not writing ad copy so forget about the sales pitch.

Answer the 5 W's of Who, What, When, Where, and Why. Include information about your product, service, or event. If a product you must include availability information, where and how it can be purchased, and the cost. If an event include date, location, hours, entrance fee or free admission, and driving directions. Try to include a quote from an authority on the subject, or even from yourself, and include their position or title within the company. Add info about awards received or articles published; anything to lend additional credibility to the source.

The last paragraph should include any additional information that can be made available. This could include photographs, sample products, or further details on (include the subject of this release here).

At the end of any release always include #  #  # centered under the last line. This indicates to the editor that they have received the release in its entirety.
